This Privacy Policy explains how HerdMaster LLC ("HerdMaster," "we," "us") handles information on the herdmaster.app website (the "Site"). It applies to the Site only. The HerdMaster app has its own privacy policy — see the HerdMaster app privacy tab above.
1. Information we collect
- Information you give us. When you join our waitlist or newsletter, we collect your email address. When you use the contact form, we collect your name, email address, and the message you send, and the topic you select.
- Information collected automatically. We use Google Analytics to understand how the Site is used. It sets cookies and collects standard analytics data such as your device and browser type, the pages you view, referring links, general interactions, and an approximate location derived from your IP address.
- What we do not collect. We do not collect phone numbers through the Site, and we do not send text messages. We do not take payments on the Site, so we do not collect card or bank details here.
2. How we use your information
We use it to: send you launch updates and newsletter emails you asked for; respond to your inquiries; and measure and improve the Site's content and performance. We do not use it to make automated decisions about you.
3. Cookies and analytics
The Site uses cookies and similar technologies, primarily for Google Analytics. You can control cookies through your browser settings and opt out of Google Analytics with Google's browser add-on at tools.google.com/dlpage/gaoptout. If a cookie-consent banner is enabled for your region, your choices there also apply.
4. Our customer records (CRM)
Information you submit (your email for the newsletter, and your contact-form details) is stored in AIO, our sales and marketing CRM, so we can reply and keep you informed. You can ask us to delete your information from the CRM at any time by emailing support@herdmaster.app, and we will remove it within a reasonable period, except where we must keep limited records to comply with law.
5. How we share information
We share information only with service providers who help us run the Site and our outreach: Google (analytics), our CRM and email provider (AIO), and similar processors acting on our behalf. We do not sell your personal information. We may disclose information if required by law or to protect our rights.
6. Your choices and rights
- Unsubscribe from emails anytime using the link in any message.
- Access, correct, or delete the information we hold, including removal from the CRM, by emailing support@herdmaster.app.
- Depending on where you live (for example California, or the EU and UK), you may have additional rights to access, delete, or restrict use of your data, and to lodge a complaint with a regulator. Contact us to exercise them.
7. Data retention
We keep newsletter and contact information until you unsubscribe or ask us to delete it. Analytics data is retained according to our Google Analytics configuration.
8. Children's privacy
The Site is intended for adult breeders and is not directed to children under 13. We do not knowingly collect personal information from children through the Site. (The app's 4-H and FFA youth access is an app matter, addressed in the app's own policy, not here.)
9. Security
We use reasonable measures to protect the limited information the Site collects. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Third-party links
The Site links to third parties such as the App Store. Their privacy practices are their own and are not covered by this policy.
11. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows the latest version, and significant changes will be reflected there.

1. Introduction
HerdMaster LLC (“we,” “our,” or “us”) operates the HerdMaster mobile application (“the App”). This Privacy Policy explains how we collect, use, store, and protect your information when you use HerdMaster.
By downloading or using HerdMaster, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.
2. Age Restrictions
HerdMaster is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. Users must be at least 13 years of age to create an account.
4-H and FFA users who are under the age of 13 must have verifiable parental or guardian consent before using the App. If we become aware that we have collected personal information from a child under 13 without parental consent, we will delete that information promptly.
Users between the ages of 13 and 18 should review this Privacy Policy with a parent or guardian.
3. Information We Collect
3.1 Information You Provide
- Account information: name, email address, and password
- Rabbitry or farm name (optional)
- Animal records: breed, variety, ear number, date of birth, weight, health notes, photos
- Breeding records: pairing information, litter records, kit counts
- Harvest records: live weight, dressed weight, yield percentage, harvest date
- Financial records: sale amounts, expense categories, invoice data
- Customer records: buyer names, contact information, purchase history
- Pedigree information: ancestor names and ear numbers up to four generations
- Photos uploaded to animal records
3.2 Information Collected Automatically
- Device type, operating system version, and app version
- App usage events: screens viewed, features used, upgrade prompts triggered
- Subscription and purchase events via Apple App Store and RevenueCat
- Crash reports and diagnostic data
- Partner attribution data when you use a promo code at signup
- iCloud account identifier for CloudKit sync (Apple-managed, not accessible to us directly)
3.3 Information We Do NOT Collect
- We do not collect your precise GPS location
- We do not access your contacts, camera roll, or other apps without explicit permission
- We do not sell your personal information to third parties
- We do not collect payment card information — all purchases are processed by Apple
4. How We Use Your Information
- To provide and operate the HerdMaster app and its features
- To sync your data across your devices via iCloud CloudKit
- To process and validate your subscription through Apple App Store and RevenueCat
- To validate promo codes and attribute partner referrals
- To analyze app usage and improve features (anonymized and aggregated)
- To send account-related communications (subscription confirmations, support responses)
- To diagnose technical issues and crashes
- To comply with legal obligations
5. Data Storage & Sync
5.1 On-Device Storage
Your animal records, breeding records, harvest logs, financial data, and customer records are stored locally on your device using SwiftData. The App is designed to work offline. Your data is available without an internet connection.
5.2 iCloud CloudKit Sync
If you are signed into iCloud, your data is synced across your devices using Apple’s CloudKit service. CloudKit data is stored in your personal iCloud account and governed by Apple’s Privacy Policy (apple.com/legal/privacy). HerdMaster LLC does not have direct access to your CloudKit data.
5.3 Backend Services
HerdMaster uses a backend server (Google Cloud Run) for the following limited purposes:
- Subscription and entitlement validation via RevenueCat and Apple App Store
- Promo code validation and partner attribution
- Animal Share Code generation and temporary storage (30-day expiration, animal record only)
- Anonymous analytics event processing
Data transmitted to our backend is encrypted in transit using HTTPS. We do not store your full animal records, customer records, or financial data on our backend servers.
6. Third-Party Services
6.1 RevenueCat
We use RevenueCat to manage subscriptions, process entitlements, and handle subscription events. RevenueCat receives your App Store transaction data and subscription status. RevenueCat’s Privacy Policy is available at revenuecat.com/privacy.
6.2 Apple App Store
All purchases and subscriptions are processed by Apple. Apple’s Privacy Policy governs payment processing and transaction data. We do not receive or store your payment card information.
6.3 Google Cloud Run
Our backend services are hosted on Google Cloud Run. Google’s Privacy Policy is available at policies.google.com/privacy.
6.4 Apple CloudKit
Data sync between your devices is handled by Apple’s CloudKit service. Apple’s Privacy Policy governs CloudKit data storage and transmission.
7. Animal Share Codes
When you generate an Animal Share Code, a snapshot of that animal’s record (name, ear number, breed, variety, sex, date of birth, weight, and up to four generations of pedigree) is temporarily stored on our backend servers. This snapshot:
- Expires and is permanently deleted after 30 days
- Is invalidated when you generate a new code for the same animal
- Does not include your customer records, financial data, sales history, or account information
- Contains only human-readable animal record values — no internal database identifiers or schema metadata
- Can only be accessed by a HerdMaster user who has the specific share code
8. Partner Attribution & Promo Codes
If you use a promo code at signup (such as an ARBA member code or creator partner code), we record which code was used and the resulting subscription to calculate revenue share payments to our partners. This data is used only for partner compensation purposes and is not shared with third parties beyond the partner organization associated with your code.
9. Analytics & Event Tracking
We collect anonymized event data to understand how the app is used and to improve features. This includes events such as screens viewed, features accessed, upgrade prompts triggered, and tier transitions. This data is aggregated and anonymized — it is not linked to your personal identity or animal records.
We do not sell analytics data to third parties or use it for advertising purposes.
10. Data Retention
- Your on-device data is retained until you delete the app or delete specific records
- Your iCloud CloudKit data is retained in your iCloud account per Apple’s policies
- Animal Share Code snapshots are deleted after 30 days
- Backend analytics events are retained for up to 12 months then deleted
- If you request account deletion, we will delete any backend records associated with your account within 30 days
11. Your Rights & Choices
11.1 Access & Correction
All of your animal records, breeding records, financial data, and customer records are accessible and editable directly within the app at any time.
11.2 Data Export
You can export your data at any time using the data export feature (JSON and CSV formats). This export includes your complete animal records, pedigrees, breeding history, financial records, and customer records.
11.3 Account Deletion
To request deletion of your account and all associated backend data, contact us at privacy@herdmaster.app. We will process deletion requests within 30 days. Note that data stored in your iCloud account must be deleted separately through your iCloud settings.
11.4 Subscription Management
You can manage, pause, or cancel your subscription at any time through your Apple ID settings. Cancellation instructions are available at apple.com/support.
12. Security
We take reasonable measures to protect your information:
- All data transmitted between the app and our backend is encrypted using HTTPS/TLS
- iCloud CloudKit data is encrypted by Apple at rest and in transit
- Our backend services use Google Cloud’s security infrastructure
- We do not store payment information — all transactions are handled by Apple
No method of transmission or storage is 100% secure. We cannot guarantee absolute security of your data.
13. Children’s Privacy (COPPA)
HerdMaster is not directed at children under 13. We do not knowingly collect personal information from children under 13. The 4-H/FFA free tier is available to users 13 and older. Users under 18 should use the app under parental supervision.
If you believe we have inadvertently collected information from a child under 13, please contact us immediately at privacy@herdmaster.app and we will delete that information promptly.
14. California Privacy Rights (CCPA)
California residents have the right to:
- Know what personal information we collect and how it is used
- Request deletion of their personal information
- Opt out of the sale of personal information (we do not sell personal information)
- Non-discrimination for exercising their privacy rights

15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the app and updating the “Last Updated” date above. Your continued use of the app after any changes constitutes acceptance of the updated policy.
